When you are ready to make a firm booking, we ask that you confirm the details in writing. We will then raise a booking contract and quote for you.

General
We ask that:

You appoint one person only as conference organiser, who will be our main contact for the duration of your conference, and that you let us know if this person is changed.
It is made clear to delegates that all contact and queries about your conference should be directed to the organiser and not the college - the college is unable to deal with individual delegates under any circumstances.
During the conference, the organiser should establish a conference office to deal with mail, queries from delegates etc.
Detail
For residential conferences, about three months before the event we will send you a blank delegate list, meeting room layout sheet and banquet menu if applicable. We suggest that you use the blank delegate list to record details as registrations come in. In any case we need to receive your delegate details in this format about a week to ten days before the first arrivals. At this time we also need to receive your meal numbers, banquet menu choices if applicable and not already received, and details of meeting room set up.
We will anyway be in close contact with you in the run up to your conference and will discuss arrangements and your requirements in detail.
Final catering numbers can be revised up to 24 hours before the event begins. Amendments to banquet numbers must be agreed at least 48 hours before the banquet.
Services while on site
Photocopying may be done by prior arrangement. It is asked that delegates do not use this service individually but ask their conference organiser to make arrangements. Organisers who anticipate having a large amount of photocopying are asked to advise us in advance.
Car parking: although the college does have a car park, space is very limited. We therefore ask that in all contact with delegates it is made clear that parking is not available for delegates.
We can make parking available to those who particularly need it - ie organisers, speakers, exhibitors and those with mobility issues. We will discuss this with you in the period leading up to your event.
Newspapers can be arranged by the College on request. Please let us have two weeks' notice of your requirements.
Security: The College can accept no responsibility for any items. This includes vehicles parked on the college premises and their contents. Guests may however deposit small items in the college safe. Please contact the Porters' Lodge. Delegates and clients are recommended to make their own insurance arrangements.
Medical facilities: First aid facilities and trained staff can be accessed by contacting the Porters' Lodge.
